Sample HOA Community Meeting Agenda

Before an annual meeting or any important HOA meeting, it’s important to create and send out an agenda to homeowners that outlines what will be covered in the meeting. If you’re not sure what those agendas should look like, we’ve created a sample HOA community meeting agenda for you to consult when creating your own.

SAMPLE:

(Board of Directors/Annual/Community) Meeting

Agenda for (date – month/day/year)

  1. Time meeting will be called to order
  2. Welcome messages
  3. Review agenda to be covered in meeting and get approval from attendees
  4. Review and approve the last meeting minutes
  5. Financial report
    1. Review of the current budget and how funds are being allocated. Are there areas of the budget that need to be replenished? How has the year’s spending matched up with what was budgeted for the year so far?
    2. Time for questions (put a time limit on this ~ 15-20 minutes)
  6. Management report
    1. Manager discusses inspection results of common areas, anything that’s been noticed repeatedly, and any friendly reminders.
    2. Time for questions (put a time limit on this ~ 15-20 minutes)
  7. Discuss items from previous meeting
    1. If there were actions that were voted on in the last meeting, give an update on what has been done.
    2. If there were agenda items that were not decided upon at the last meeting, open up for discussion.
  8. New business
  9. Community discussion
    1. Put a time limit on this (~ 30 minutes for residents to discuss any issues they see, raise questions, highlight something they’d like/need, etc.)
  10. Other business
  11. Meeting Adjourned
